We act as:

  • We act as: Data Controller for personal data we collect directly from studios, clients, and guests using the platform.
  • Data Processor when we process client or guest data on behalf of studios or photographers who use our platform to manage their events.

2. Information We Collect

We collect and process the following categories of personal information, depending on how you use the platform:

2.1 Studio / Photographer Information

For account creation, subscription, and service management:

  • Name, business name, email address, phone number
  • Studio branding details (e.g., logo, display name)
  • Billing and subscription data

2.2 Client Information (Direct or Through Studios)

For clients using the platform either via a studio or directly:

  • Name, business name, email address, phone number
  • Event details (e.g., wedding name, date, venue)
  • Account credentials (if direct sign-up is provided)
  • Any media or personal information voluntarily submitted

2.3 Media & Event Content

Photos, videos, and associated metadata uploaded for:

  • Event management and Album creation and delivery
  • AI photo recognition features (e.g., Guest Photo Finder)

2.4 Payment & Billing Datat

  • Payments are securely processed via Razorpay.
  • We do not collect or store full card numbers or CVV.
  • We retain limited billing details and transaction references for invoicing, subscription, and legal compliance.

2.5 Cookies & Technical Data

  • We use first-party cookies and similar technologies for functionality, security, and analytics.
  • We do not use third-party advertising cookies.

3. How We Use Your Information

We use personal information to:

  • Register and maintain studio and client accounts
  • Provide, operate, and improve the StudioLear platform
  • Process payments and manage subscriptions
  • Host, organize, and deliver media and albums
  • Provide invitations, AI-powered features, and event experiences
  • Send transactional, security, and administrative messages
  • Comply with legal obligations and enforce our Terms of Service
  • If you are a client using StudioLear directly, we act as the primary data controller for your personal information and provide all related services to you.

4. Legal Bases for Processing (GDPR / UK GDPR)

We rely on:

  • Performance of a contract — to provide the Service to studios, clients, and guests
  • Legitimate interests — to maintain platform security and improve features
  • Consent — for optional features like AI guest photo matching or marketing communications
  • Legal obligations — for accounting, regulatory, or law enforcement requirements

5. AI Photo Finder and Guest Consent

If the Guest Photo Finder is enabled for an event:

  • Guests voluntarily upload a selfie through a secure QR link to identify their event photos.
  • These images are temporarily processed for AI-based matching and are not used for any other purpose.
  • Studios must obtain valid guest consent when they initiate the feature.
  • If the feature is offered directly to clients, consent is obtained during the upload process via clear notices and checkboxes.
  • We do not sell, train external models, or reuse these images for unrelated purposes.

6. How We Share Your Information

We do not sell your personal information. We may share information with:

  • Cloud Providers – Amazon Web Services (AWS), Cloudflare, for secure hosting and CDN
  • Payment Gateway – Razorpay, for secure payment processing
  • Affiliates / Service Providers – To operate platform features under confidentiality agreements
  • Legal Authorities – When required by law or valid legal requests
  • All sharing is purpose-limited, contractually governed, and security controlled.

7. International Data Transfers

  • Data may be transferred to and processed in jurisdictions including India, the UK, USA, and UAE.
  • We implement Standard Contractual Clauses and equivalent safeguards to comply with international data transfer rules.

8. Data Retention

  • Data is retained as long as the account or subscription remains active.
  • After non-renewal, a limited grace period is provided before permanent deletion.
  • Certain records (e.g., payment records) may be retained longer for legal compliance.
